Staff meetings are important, but let's face it, we've all been in that meeting that could have been an email (or even a text!)
So here is the magic tip- the secret sauce- the KEY to a successful staff meeting. Preparation.
Don't show up on Friday afternoon with no plan and sit down with your manager and expect a successful or productive staff meeting. You'll end up gossiping about customers, sharing memes you've saved on your phone, and wasting precious time.
When I meet with my self-storage manager, I spend at least 1 hour prepping, AND SO DO THEY. We have a form they pre-fill with data, notes, customer interaction recaps, marketing, to-do lists, etc. It's 3 pages long! But it guides our meeting and ensures we talk about ALL of the important information. The meetings are faster, on task, and more productive.
Here are just 3 of the sections you need on your staff meeting form:
Occupancy statistics: Month to Moth, and Year over Year
Delinquent Units: greater than 25 days
Recent Prospective Customer Interactions: One example each of a walk-in and phone customer including if the interaction passed your "Secret Shop Scoring Form" i.e. did they follow the script? And areas of improvement.
Keys for using the form effectively:
The form is filled out by manager ongoing, and emailed to the owner the day before the meeting.
At the meeting, notes are reviewed and added.
The completed form is emailed to the owner after the meeting, and any relevant notes (such as to-do's) are transferred to the NEXT meeting notes form, so nothing falls through the cracks.
