Communication between the owner and manager of a facility is important, we all know that, but communication that is not planned and consistent is often inefficient and ineffective.
We've implemented weekly meetings, either in person or if necessary on the phone that require preparation and scheduling. We use a Weekly Staff Meeting Worksheet that is prepared the day before by the manager.
At the meeting, we review and take notes on each item on the worksheet that are copied and shared after the meeting. The worksheets are reviewed and updated throughout the week and any items needed are followed up on the following week. No exceptions.
Items in yellow are prepared the day before the meeting by the manager and emailed to the owner.
Additionally, page two of the worksheet is an ongoing ToDo list with lists for all parties- the owner, manager, relief manager, maintenance help, contractors, etc. as needed.
Consistency is the most important aspect of implementation. If the meetings aren't weekly at the same time, same day, if the worksheet isn't used FULLY, and if the preparation is not done the day before.... it simply won't work and you will be disappointed with the results.
We've been in the trenches, and we've learned many things. This is one of the most important operational tools that take us to the next level, help us avoid costly mistakes, and allow us to soar above our competition.
